DevOps Collab (“we,” “us,” or “our”) operates the main corporate website (devopscollab.com) and our candidate recruitment platform (candidates.devopscollab.com) (collectively, the “Platform”). This Privacy Policy explains how we collect, use, disclose, and safeguard your personal data when you visit our websites, inquire about our services, or submit a job application.
1. Information We Collect
We collect different types of information depending on how you interact with our Platform:
For Website Visitors & Prospective Clients:
- Contact & Business Data: Name, business email address, phone number, company name, job title, country, and any details you provide via our contact or meeting booking forms.
For Job Candidates:
- Identity Data: Full name, email address, phone number, and country of residence.
- Professional Data: CV/resume content, portfolio links, LinkedIn profile URL, employment history, skills, and educational qualifications.
- Video Data: Loom, YouTube, or other video presentation URLs and their corresponding audio transcripts (when provided as part of your application).
- Application Tracking Data: Position applied for, submission date, application status, and your confidential tracking token.
Automated Technical Data (All Users):
- IP address, browser type and user agent, operating system, referrer URLs, pages viewed, and interaction timing (collected via standard website logs, security providers like Cloudflare, and email tracking interactions).
2. How We Use Your Information
We process your data based on legitimate business interests, contractual needs, or explicit consent:
- To Provide and Improve Our Services: Operating our corporate website, responding to client sales inquiries, scheduling consultations, and managing client accounts.
- Candidate Evaluation (AI-Assisted): Processing candidate application materials through third-party AI language models to generate structured skill assessments and alignment profiles.
- Communication: Sending application status updates, interview schedules, client proposals, newsletters (where opted-in), and administrative correspondence.
- Talent Matching: Sharing structured candidate evaluation reports, scores, and submitted materials with authorized hiring managers at our client companies.
- Data Integrity & Analytics: Identifying duplicate candidate applications across different positions to maintain clean records, and using aggregated, anonymized metrics to optimize website performance and recruitment workflows.
3. AI Processing and Candidate Evaluation
For candidates utilizing our evaluation platform, your materials are processed by third-party AI language model providers (including Anthropic, OpenAI, Google, and other sub-processors configured by our administrators).
- Scope: Your CV text, resume details, and video transcripts are securely transmitted as inputs alongside specific position requirements.
- No Training: These third-party AI providers process this data strictly for real-time inference and evaluation. Your personal data is never used by us or our AI providers to train public or proprietary AI models.
- Policy Alignment: AI data processing is governed by strict enterprise data processing agreements (DPAs) that guarantee high standards of confidentiality.
4. Data Sharing and Disclosure
We do not sell, rent, or trade your personal data. We only share your information with the following parties under strict security protocols:
- Client Companies: If you are a candidate, your profile, evaluation scores, and submitted materials are made accessible to the specific client companies managing the open positions you applied for via a secure review panel.
- AI Service Providers: Secure API endpoints of trusted AI model providers (see Section 3) solely for processing evaluations.
- Operational Service Providers: Third-party vendors who support our business infrastructure, including email delivery services, meeting schedulers (e.g., Calendly), CRM systems, and cloud hosting providers.
- Security & Compliance: Web infrastructure and security partners (such as Cloudflare) to prevent DDoS attacks, fraud, or malicious activity. We may also disclose data if legally required by law enforcement or regulatory authorities.
5. Data Retention
- Candidate Data: We retain your application data for as long as it remains relevant to active or future hiring processes. Archived applications are retained securely but excluded from active workflows.
- Client & Lead Data: Contact information collected from our landing page forms is retained for the duration of our business relationship or until you request its removal.
- Deletion: You may request the permanent deletion of your data at any time (see Section 10).
6. Data Security
We implement robust technical and organizational security measures to safeguard your personal data against unauthorized access, alteration, or disclosure:
- Enforced encryption for all data in transit (HTTPS/TLS).
- Strict internal access controls limiting employee access to candidate and client data.
- Layered authentication protocols, including Cloudflare Access, to protect administrative systems and client review panels.
- Database-level encryption and secure, isolated cloud hosting infrastructure.
7. Email and Interaction Tracking
Emails sent through our Platform to candidates or prospective clients may include standard tracking web beacons, pixels, or tracked hyperlinks. This allows us to collect limited metrics such as email open times, click-through rates, browser user agents, and IP addresses. We use this information strictly to verify email delivery, improve communication flows, and optimize our outreach. This data is never shared with third parties.
8. Cookies and Analytics
We use a minimal set of cookies and similar technologies:
- Essential: Required for the Platform to function and to remember your cookie preference. These are always active.
- Analytics (Google Analytics 4): With your consent, we use Google Analytics to understand aggregate usage — pages viewed, approximate location, device and browser type, and interaction timing. GA4 sets cookies in your browser and shares this data with Google acting as a processor.
Analytics cookies are only set after you accept via our consent banner. Declining means no analytics cookies are loaded. You can change your choice at any time by clearing this site’s data in your browser (which re-prompts the banner), or block cookies entirely via your browser settings.
9. Your Rights (Including GDPR compliance)
Depending on your geographic location (such as the European Union/UK), you hold specific statutory rights regarding your personal data:
- Access & Portability: Request a copy of the personal data we hold about you in a structured, machine-readable format.
- Rectification: Request the correction of inaccurate or incomplete personal data.
- Erasure (“Right to be Forgotten”): Request the absolute deletion of your personal data from our active systems and backups.
- Objection & Restriction: Object to or restrict the processing of your data, including the right to object to AI-based candidate evaluation.
- Withdraw Consent: Withdraw your consent to data processing at any time (applicable if processing was strictly consent-based).
To exercise any of these rights, please contact our privacy team using the details provided below.
